Keep your travel plans clear

Travel plans can change. The way a change or cancellation is handled depends on whether you are still discussing an itinerary or have confirmed arrangements governed by written booking conditions. This page explains the process and the information to check, without applying a single fee or refund rule to every journey.

While your itinerary is being planned

Before booking, tell us if you want to change your travel period, party size, route or priorities. A revised proposal may need a different program, price or set of services. Check the new version carefully and make sure it reflects the changes you want.

Sending a planning inquiry does not reserve travel or create a booking to cancel. If you decide not to continue with an inquiry, let the planning contact know which request you are referring to.

Requesting a change to confirmed arrangements

Use the contact route provided with the final proposal or booking documents. Give the booking reference, the affected travelers and the dates or services you want to change. Keep a written record of the request and the response. Avoid sending payment or sensitive personal information through a general form.

A change depends on the services involved and what is available. Ask for a clear account of any revised price, supplier charges and effects on other parts of the journey before agreeing to proceed. Treat the original arrangements as unchanged until the change is confirmed in writing.

Requesting a cancellation

Follow the cancellation instructions in the applicable booking conditions and provide the reference and scope of the cancellation. Ask for written confirmation that the request has been received and how it affects the arrangements. A message asking about cancellation costs does not by itself cancel a booking.

Any charges, refundable amounts or nonrefundable services depend on the written conditions that apply to the booking and on the circumstances. Check the relevant deadlines and service-specific restrictions. This page does not offer a universal refund, fee waiver or right to transfer a booking.

When a service or itinerary needs to change

Ask what part of the program is affected, what alternatives are being offered and how the change is treated under the applicable conditions. A replacement service, revised route, credit or refund should not be assumed. Review the options and their practical effect before making a decision.

For routes involving permits, border access, remote stays or weather-sensitive activities, discuss how possible changes would be handled before booking. Keep independently arranged flights and extensions in view when comparing alternatives.

Flights, insurance and separate arrangements

International flights are outside the base land-only scope. Separately booked flights, accommodation and other services have their own conditions, which may differ from those of the land arrangements. Check them directly with the relevant provider.

If you have travel insurance, refer questions about cover, exclusions or a possible claim to the insurer. The catalog does not determine whether a particular change or cancellation is covered.
